Contacts

What are contacts?

Contacts are your relationships with people, and they can be further categorized (into propects, clients, leads, for instance) and/or tagged (golfer). In the contact section, Upswing allows you to store detailed company, household and other contact data. You can create a customizable contact database from scratch or import your contacts from existing programs, such as Outlook, ACT or Goldmine.

For each contact you can record notes, activities, special dates, tags, files, and investment accounts. Additionally, each contact record can store financial and personal interests such as risk tolerance, favorites, investments and hobbies.

How do I delete a contact record?

1. Go to the contacts page.

2. Click on the contact name.

3. Select the "Edit this contact" link.

4. On the right, select the "Delete" link.

5. Confirm that you would like to delete the contact record, and click on the "OK" button.

What information do I need to create a contact record?

The only field that's mandatory in a contact record is the
first name; all of the other information is optional. Similarly, to
create a company or household record, you need only the name of the company or household.
You can always go back and enter more information by editing the
contact record.

How do I edit a contact record?

1. Go to the contacts page.

2. Click on the contact name.

3. Select the "Edit this contact" link on a given contact page.

4. Make your changes and click on the "Save this contact" button.

How do I search and browse my contacts?

You can search and browse your contacts several ways:

Search by last name by using the search box on the contacts page:

  • By Household - Click on the "Houshold Directory" link in the More ways to search menu on the right
  • By Company - Click on the "Company Directory" link in the More way to search menu on the right
  • By Tag - From the Tags menu on the right, select the tag you would like to search.
  • By Source - Click on the "Lead source" link in the "More ways to search" link in the right menu.

What is a company directory?

The company directory lists all of the companies associated with your contacts. You can find a company by typing a few letters in the search box on the company directory page.

What is a household directory?

The household directory lists all of the households associated with your
contacts. You can find a household by typing a few letters in the search
box on the household directory page.

How do I find all the contacts associated to a specific household or company?

1. Go to the company or household directory page.

2. Click on the company or household name to display all the contacts at a specific company or household. Additonally, you will also see any activity history that have been documented for all contacts across the company or household.

Can I email contacts individually or in bulk from the system?

We will launch your default email client (e.g. outlook, gmail, etc.) if you click on a contact's email address. Currently you can not email contacts in bulk out of the system.

How do I add a contact type to a contact?

To add a contact type to a contact record:

1. From the Contacts tab Click on 'Add a new contact' 

2. Inside of the 'Add a new contact' page click on the 'Contact type' drop down.

ere you can select from the predefined contact types from the drop down
or add your own contact types. Clients are color coded in Green.
Prospects in orange. And basic contacts in a neutral grey.

 

How do I create a contact record?

1. Go to the contacts page.

2. Click on the "Add a new contact" button.

3. Fill in the details for the contact record and click on the "Save this contact" button.

How do I create a household or company record?

1. Go the contacts page.

2. Click on the "Add a new company" or "Add a new household" link.

3. Fill in the details for the company or houshold and click on the "Save this company/household" button.

How do I upload a photo for a contact record?

1. Go to the contacts page.

2. Click on the contact name.

3. Select the "Edit this contact" link.

4. Click on the "Photo" tab.

5. Click on the "Browse" button and upload your photo. 

How are contacts color coded?

In Upswing contact are color coded by types of contacts.

 1. Clients: Green

 2. Prospects: Orange

 3. Basic contacts (Vendors, Family, etc.): Grey 

Can I choose differnt colors for contact types?

Currently  you can not choose different colors for types of contacts.
